Part-Time Faculty Hiring Process — For the Department

Department Chairs, Associate Deans and Administrative staff play an active role in the hiring process of Part-Time Single Term Instructors.  Below is the outline to the entire hiring process that should be followed.  Questions should be directed to the Provost's Office.    

Chair Reviews Applications:

  • The Chair reviews applications in PeopleAdmin
  • All candidates are required to upload a CV, Cover Letter and contact information for 2 references - the references will be contacted to upload a letter of support for the candidate
    • 2 reference letters must be uploaded prior to making an offer of employment
    • If the candidate is a rehire, only 1 letter is required and the current Chair may serve as that reference 
  • The old part-time instructor postings will be closed, but you still have access to them
    • If there’s a candidate you’d like to hire from the old posting, request that they reapply to the new posting

Chair Makes Verbal Offer of Employment:

  • The Chair makes a verbal/unofficial offer to the candidate with the following information:

Chair Creates Hiring Proposal:

  • Once you have selected a candidate to hire and they have accepted the verbal offer, create a Hiring Proposal and send it to the Associate Dean for review and approval
    • Note – if someone other than the Chair makes a selection for hire and creates the Hiring Proposal, the Chair must review and approve it and must be the one to move it to the Dean for approval.   

Associate Dean Reviews and Approves Hiring Proposal:

  • The Associate Dean will receive an automated email from PeopleAdmin that there is a Hiring Proposal in their queue to review
  • The Associate Dean will review and approve the Hiring Proposal:
    • Is the candidate qualified and a good candidate to teach at the collegiate level?
    • Do their references support their hire? 
    • Is the salary approved?
  • Once the Hiring Proposal is approved, the candidate will receive a link to complete a background check
    • Note - If for whatever reason the Hiring Proposal is not approved by the Associate Dean to hire the candidate, the Chair will receive an aumtomated email notification from PeopleAdmin that the Hiring Proposal is back in their queue.  The Chair should contact the candidate to let them know that you will not be proceeding with the hiring process 

Provost’s Office Conducts Background Check:

  • The Provost’s Office will conduct the background check - if there are concerns regarding the background check, the Provost’s Office will contact the Chair
    • School of Nursing will conduct their own background checks, which include fingerprinting
  • Once the background check is complete, the Provost’s Office will approve the Hiring Proposal

Department Prepares Contract:

  • Once the Hiring Proposal is approved, the department will receive an email notification that they can begin to prepare the contract
  • A copy of the contract should be sent to the candidate as soon as possible for their signature 
  • Once the contract is signed by the candidate, the contract should be sent to the Budget Manager or uploaded to the Lanyard so the Provost's Office can review, approve and send it to HR for processing
    • Note - The new hire won't be able to access their CSU email or Blackboard until their contract is sent to HR - it's important to upload contracts to the Lanyard for processing as early as possible
